Privacy notice
How Awalya Homecare collects, uses and protects your personal data. Last updated 30 October 2026.
For families
Who we are
Awalya Homecare is run by Claricent Limited, Apartment 123, Block 100, Cathedral Court, New Street South, Dublin 8, Co. Dublin 8, D08 A020, which arranges home care and matches your family with a live-in carer. It decides how your personal data is used and is responsible for it (the "controller").
If you choose our payroll service, Claricent Limited also acts for you as the carer's employer, registering you with Revenue and making the payroll returns.
Questions about your data: privacy@claricent.ie.
What we collect and why
| What | Why | Legal basis |
|---|---|---|
| Your name, email, phone, address and Eircode, and those of other family members on the account | To talk to you, set up care and run your account | Our contract with you |
| The name, date of birth and address of the person cared for, their care needs and health conditions, GP and pharmacy, House Guide, favourite meals and photos | To find a suitable carer and give them what they need to care safely | Our contract with you; for health details, providing health or social care |
| Employer details: PPS Number (PPSN), date of birth, employer number | Only if you use our payroll service: to register you with Revenue as an employer | Legal obligation, and our contract with you |
| Bank details for paying the carer and our fees | To take payments you have agreed to | Our contract with you |
| Timesheet approvals, receipts, survey answers, messages and call notes | To pay the carer correctly and look after the placement | Our contract with you, and our legitimate interest in running a safe service |
| A scrambled copy of your email and phone | Advertising, only if you tick the box | Your consent |
We only ask for what we need. If you don’t give us the details marked as needed, we can’t arrange care.
Who sees it
- Our office staff see what their job needs. Opening care needs is logged.
- A carer you are matched with sees your household photos and a summary of the care needed, without names.
- The carer placed with you also sees the House Guide, contacts and care details. Their access ends 30 days after the placement ends.
- Revenue and My Future Fund (the pension auto-enrolment authority) receive payroll returns if you use our payroll service. The law requires this.
Companies that help us

Where data goes outside the European Economic Area, we rely on the EU-US Data Privacy Framework where the company is certified under it, or on the European Commission’s standard contractual clauses, so your data has the same protection as in the EU.
We never sell your data.
Advertising
Our forms have a separate box asking whether Awalya Homecare may share a scrambled (hashed) copy of your email and phone number with Meta (Facebook and Instagram). Meta matches it to accounts so we can show relevant ads to you and to people like you, and leave out people who already use our service. We only do this if you tick the box, and we record when you agreed and to which companies.
You can turn this off at any time from your account (Contact Preferences for families, Profile for carers) or by contacting our office team.
How long we keep it
| What | Kept for |
|---|---|
| Care details: care needs, House Guide, meals, contacts, notes and survey comments | 24 months after your last placement ends |
| Contracts, timesheets, payslips and invoices | 6 years after your last placement ends, as tax law requires |
| Enquiries that never led to a placement | 12 months after we were last in touch |
Nothing is deleted the day a placement ends. When the time is up, the record goes on a list for our compliance team, who have 30 days to keep it for a stated reason (such as an open complaint) before it is deleted.
Your rights
- See the data we hold about you and get a copy of it.
- Have it corrected if it is wrong.
- Have it deleted, unless the law says we must keep it (for example, pay records).
- Ask us to limit how we use it, or object to how we use it.
- Take it to another provider in a common format.
- Withdraw a consent at any time. This does not affect what was done before.
Ask through your account, our office team, or privacy@claricent.ie. We reply within one month. You can also complain to the Data Protection Commission (www.dataprotection.ie).
Website visits and cookies
We count visits and the pages read on this website to see which posts and ads bring people to us. We don’t use cookies for this or store anything on your device. Each day a scrambled code is made from your internet address and browser so we can tell visits apart. We don’t keep your internet address, and the code changes every day, so it can’t be used to follow you from one day to the next. If your browser asks websites not to track you, we don’t count your visits. We keep these counts for 13 months.
Vercel, which runs the website, also counts page views for us in the same way, without cookies.
We only use cookies the website needs to work: one keeps you signed in (it ends when you sign out or after a time without use), and one remembers the language you picked. We don’t use advertising or tracking cookies.
For carers
Who we are
Awalya Homecare is run by Claricent Limited, Apartment 123, Block 100, Cathedral Court, New Street South, Dublin 8, Co. Dublin 8, D08 A020, which recruits carers and matches them with families who employ a live-in carer. It decides how your personal data is used and is responsible for it (the "controller").
When you are placed with a family, the family is your employer and is responsible for your employment records too.
Questions about your data: privacy@claricent.ie.
What we collect and why
| What | Why | Legal basis |
|---|---|---|
| Your name, email, phone, address, date of birth, nationality and languages | To consider your application and keep in touch | Steps you asked for before a contract, then the contract |
| Photos, hello video, experience, skills, certificates and training records | To show families your profile and match you well | The contract, and our legitimate interest in matching well |
| References and your referees’ details | To check your experience with people who worked with you | Our legitimate interest in placing safe carers |
| Passport or ID, PPS Number (PPSN), proof of address and right to work | To confirm who you are and that you can work in Ireland | Legal obligation |
| Garda vetting application and result | Needed before you work with vulnerable people | Legal obligation (National Vetting Bureau Acts 2012 to 2016) |
| Bank details, tax credits, pension enrolment, timesheets, payslips and receipts | To pay you correctly and report to Revenue | Legal obligation, and the contract |
| Check-in survey answers, messages and call notes | To look after you during a placement | Our legitimate interest in a safe service |
| Whether we may introduce you to partner agencies | Only if you tick the box (see below) | Your consent |
Who sees it
- Our office staff see what their job needs. ID numbers show only the last 4 digits. The few staff who can see the full number or open ID photos are logged every time, and so is opening your vetting record.
- Families you are matched with see your profile, hello video and certificates, with personal details blacked out. Our staff check every video before a family sees it.
- The family you are placed with, your employer, also sees your timesheets and payslips.
- Bank details are encrypted. Only payroll staff and admins can see them in full.
- The Garda National Vetting Bureau receives your vetting application. Revenue and My Future Fund (the pension auto-enrolment authority) receive payroll returns. The law requires this.
Partner agencies
Our application form has a separate box asking whether we may introduce you to partner home care agencies in Ireland. It is not ticked unless you tick it, and you don’t have to tick it to apply.
If you tick it, we may pass your profile, experience and contact details to a home care agency in Ireland that works with us, so it can offer you work. We record when you agreed and the wording you saw. Without it, we never share your details with another agency.
You can turn it off at any time on your Profile in the Carer Hub, or by asking our office team. We then stop introducing you. An agency you were already introduced to holds your details under its own privacy notice.
